About How Do I Rent Miller?

1

Provide some information on your event

Submit the event reservation request form. Our Director of Production will contact you within three business days of receiving your event reservation request form.

2

Review and approve the estimate and schedule.

A preliminary event schedule and estimate will be sent for your review and approval. (View sample estimates and rates.) The dates and times outlined in the schedule will be held for 5 business days while you review the estimate.

3

Submit your signed contract and deposit.

Once we receive your approval of the estimate, we will generate and send you a contract. You will have an additional 5 days to review, sign, and return the contract. For Columbia University Affiliates, an account number is required at this time. For all others, a deposit is required at this time. Only after we have your signed contract and your account number or deposit will you be able to announce your event.

4

Finalize your schedule and provide insurance information

Changes to the event schedule may be made up to 4 weeks prior to the event. Clients who are not University Affiliates must provide proof of insurance at least 6 weeks prior to their event.

5

After the event, make your final payment.

Following your event, we will send you a final invoice with a detailed outline of charges; the amount due will include the balance of the original estimate as well as any additional charges incurred. Payment will be due in full within 30 days from the billing date.

Additional Information

Scheduling your event

  • The calendar opens on June 1 for scheduling of events during the following academic year (September through May).
  • Scheduling priority is given to Columbia University events.
  • The calendar fills quickly; plan at least 3 months in advance for best date availability

Managing your event

  • We will require that you designate someone from your organization to be the “event producer.” This person will serve as the primary planner and contact for the event, and they accept full responsibility for decision-making at all stages of planning and execution of the event.
  • For your protection and ours, your event producer will be the only person authorized to approve decisions that change the scope (and cost) of the event.
  • Your event producer must be on-site whenever the theater is in use.

Cancellations

  • Deposit payments are non-refundable.
  • Any cancellations within 30 days of the event date must be paid in full.

Columbia University Affiliates

  • For the purposes of renting Miller Theatre, “Columbia University Affiliate” is defined as any department, center, or recognized organization of Columbia University.
  • University Affiliate status applies only to events that further the mission or research of the presenting department, center, or recognized organization.
  • Only entities fitting the above description will receive reduced rental rates.
  • Use of Miller Theatre will incorporate all University Event Management Policies as outlined in the Essential Policies for the Columbia Community.

Additional considerations for Columbia University student organizations

  • Non-recognized student groups must secure the sponsorship of a University Affiliate, as defined above.
  • All student events must designate a University staff or faculty member as an “event producer.” For recognized student groups, the event producer is your SDA Advisor; for non-recognized groups, a staff or faculty member of the sponsoring University Affiliate must assume this role. Please note that the event producer must be on-site whenever the theater is in use. (See Managing your event, above.)
